How to white-list Icon in your bank account

How to configure positive pay, allow-lists, white-lists, block-lists, or ACH rules to prevent debit rejections and ACH returns.

What is an ACH allow-list?

Icon debits contributions from your linked payroll bank account directly via ACH. Sometimes your payroll bank may have this functionality blocked by default, or you may have set up a block or rule to disallow ACH debits. In order to use Icon you will need to allow us to issue this ACH debit. You can set this up by adding Icon to an ACH allow-list or rule with your bank.

Most banks do not have this on by default. If you are unsure about your bank account, contact your bank representative. If a debit is blocked due to a rule, you may have to perform extra steps with Icon Customer Success to re-enable your Icon linked bank account in addition to setting up an allow-list.

What is a Positive Pay?

Some banks have a feature where you must approve all debits on your account within a specific set of criteria, or they will be denied by default. This helps you ensure that only approved debits are allowed against your account.

You may need to configure your positive pay setup to allow Icon debits, otherwise you may block a debit inadvertently and have to perform extra steps with Icon Customer Success to re-enable your Icon account.

How to configure

There are a few methods to allow Icon access to ACH debits with your payroll bank:

  • By transaction names or keywords

  • By originating bank account number

  • By Icon company ID

You will need to contact your bank in order to determine which approach they support since every bank has slightly different capabilities. You may need to configure multiple options.

Transaction Allow-list

All transactions that Icon originates will include the key phrase "Icon" within their memo or description. Your bank can watch for this phrase in the transaction description and allow it to pass.

Bank Account Allow-list

The bank account number and routing number that Icon transactions originate from can be found in your Employer app:

  1. Log in to your employer account

  2. Navigate to "Company" > "Bank Info" on the left navigation menu.

  3. Under "Icon Employer Account" you will see the account and routing number that your Icon debits will originate from.

  4. Provide this information to your bank securely and request that ACH debits be allowed from this account.

Icon Company ID

Some banks or positive pay systems work off a "Company ID" for Icon. This identifier is also displayed in your employer app and you can use it to configure an "Allow Rule" with your positive pay setup.

What happens if a debit is blocked?

A blocked debit is treated as an unauthorized ACH return (R29). The Icon debit for the given payroll will be placed in an error state and no funds will be taken from your account. Icon will freeze you account automatically, preventing any further contributions until we are able to confirm with you that your bank allow list or positive pay system is correctly configured.

Incurring returns can trigger additional fees on your account, and ultimately lead to closing of your Icon account if we cannot resolve the issue in a reasonable timeframe.
