How to Send Employee Invites Through Icon

The way you send employee invitations depends on how your Icon plan is set up.

Follow the instructions for your plan type below.


For Integrated Clients

If your payroll system is integrated with Icon, there’s nothing extra you need to do.

Employee invitations are sent automatically to any employee who has an email address in your payroll system.


For State Mandate Plans

During Onboarding

  1. In the “Announce Plan” stage, select Create a List.

  2. Download the roster file template from your portal.

  3. Enter the required employee information into the template. State compliance requires certain details such as:

    • Name

    • Address

    • Email

    • Date of birth

    • Social Security Number

  4. Upload the completed file, then Launch Plan to send invitations.

Adding New Employees Later

  • Single employee:
    Go to EmployeesEmployee InvitationsAdd Employee. Enter their details and send the invite.

  • Multiple employees:
    If you’ve hired several people at once, fill out a new roster file and upload it.


For Primary Plans

During Onboarding

  1. In the “Announce Plan” stage, select Create a List.

  2. Paste up to 250 employee email addresses directly into the invite list.

  3. Click Launch Plan to send invitations.

Adding New Employees Later

Go to EmployeesEmployee InvitationsAdd Employee. Paste in their email address and send the invite.
